A simple comparison method
- List the apps you need for the processes in scope, not every app you might try.
- Count users per app. Finance users for Books, all employees for People, project staff for Projects, and so on.
- Price the individual route at current Zoho list prices and editions.
- Price the Zoho One route using Zoho’s current per-employee or per-user options.
- Add the hidden costs below and compare.
| Hidden cost | Individual apps | Zoho One |
|---|---|---|
| User administration | Separate per app | One directory |
| Integration between apps | Usually native, but set up per app | Native, one admin console |
| Temptation to over-implement | Low | Higher: more apps are available than you need |
| Future apps | Each is a new purchase | Already included |
Our view
Zoho One makes the most sense for companies that will genuinely run finance, HR and operations on Zoho. The biggest risk is not the licence but implementing too many apps at once. We phase Zoho One rollouts by process; see Zoho One implementation.
