How to migrate to Zoho Books without losing control of your numbers

Quick answer

To migrate to Zoho Books, pick a cut-off date at a closed period end, clean and map your masters, set up taxes and the chart of accounts, import customers, vendors and items, load open invoices and bills and the opening trial balance, then reconcile receivables, payables, stock and bank to your old books before anyone starts transacting.

Reconciliation checklist

  • Trial balance in Zoho Books equals the old trial balance at cut-off.
  • Customer-wise and vendor-wise ageing match.
  • Stock by item and location matches in quantity and value.
  • Bank balances match statements.
  • Tax liabilities and input credits carried forward correctly.
  • Fixed asset register agrees to the trial balance: gross block, accumulated depreciation and net carrying value.
  • Provisions, accruals and reserves agree to their supporting schedules.

Frequently asked questions

Should we migrate old transactions?
Usually not. Migrate open items and balances, and keep the old system or an export for history.
Can we run both systems in parallel?
For a short period, for payroll or complex areas, yes. Running full parallel books for months doubles the work; a clean cut-off with reconciliation is better.
