How to choose an ERP implementation partner

Quick answer

Choose an ERP implementation partner on five things: whether they design your processes before configuring, who will actually do the work, how they migrate and reconcile data, whether they understand accounting and controls, and how they price and support you after go-live. Ask for a written scope per stage and speak to clients with similar projects.

Ten questions to ask

  1. Will you map and redesign our processes before configuring?
  2. Who exactly will work on our project, and what are their certifications?
  3. Have you implemented this product for a business like ours? Can we speak to them?
  4. How do you clean, migrate and reconcile our data?
  5. Who designs the chart of accounts, taxes and approval rules?
  6. How do you build internal controls and user roles?
  7. What documentation do we get: SOPs, configuration notes, training material?
  8. Is the fee fixed per stage? What is excluded?
  9. What support do we get through the first month-end close, and after?
  10. Who owns the licences and the data?

Red flags

  • A demo of features instead of questions about your processes.
  • A single lump-sum quote with no stage deliverables.
  • “We will import your data” with no mention of reconciliation.
  • Licences held in the partner’s name.

Frequently asked questions

Should we choose the cheapest partner?
Choose on scope and competence first. The cost of a poor implementation shows up later in rework, workarounds and audit issues.
Does the partner need accounting expertise?
For finance-led ERP projects, yes. The chart of accounts, taxes, approvals and close process must be right, and those are accounting decisions.
